Overview
This is our timeline for issuing paper diplomas/eDiploma and official transcripts to students that have graduated from a term. We will cover some common issues that alumni face with the diploma and how to solve them.
Procedures
- After graduation date for the term, we allow two weeks for our students to submit transfer credit from other colleges that was completed before the graduation date
- In the two weeks following the graduation date, the Office of the Registrar is finalizing the Degree Clearance processing
- We then update all graduated students that cleared their degree requirements to Awarded status in Student Information System (SIS)
- Then we release our official transcripts through National Student Clearinghouse Transcript that were requested as Hold for Degree
- We submit the list of graduated students with no Bursar holds to our third-party vendor Michael Sutter Company to process diploma order for printing and mailing
- In at most two weeks, Michael Sutter Company will email the student with a link to their Secure ID so they can order a eDiploma or reorder a paper diploma. The step-by-step process for this can be found under article Requesting Replacement Diploma or eDiploma
- Your diploma will be printed and mailed within two days from that email to the address provided by the student when they submitted the online or paper application. This is sent via USPS First-Class mail that does not have tracking. For domestic addresses, please be aware it may take longer then the estimated 5-10 business days. For international addresses, this process may take several months
Common Issues for Diploma
Need to update address on degree application: Submit the updated address to Office of Registrar via our ticket system Submit A Request before we send the order to vendor. After sent to vendor, we cannot update the address with them. If the diploma is returned to our office, we will reach out to you via email to make arrangements to mail it to you
Bursar Hold preventing diploma from being sent: You will need to reach out to Bursars Office 518-276-6610 or bursar@rpi.edu. Once the hold is cleared, Bursar Office will notify us, and we will send your name to Michael Sutter Company so they can mail out your diploma and send you an email for eDiploma
Damaged diploma: Send Office of the Registrar a ticket via Submit A Request with a picture of the damaged diploma so we can order it for you again through Michael Sutter Company
Did not receive paper diploma: Michael Sutter Company will print and mail your diploma in at most two days from receiving the confirmation email from them. It is originally sent via USPS First-Class mail that does not have tracking. If the paper diploma is still not received within a month, you can certainly request the eDiploma for immediate access to it or you can reach out to the Office of the Registrar for further assistance via Submit A Request
